Senior Executive Assistant
Job Responsibilities
-Extensive diary management / review with MD for internal & external meeting arrangements
-Prepare internal/external correspondence as required
-Coordinate and book worldwide travel arrangements including, Flights, Hotels, Visa’s and Taxi
service using the companies preferred systems
-Complete expenses in a timely and accurate manner / reconciling against Corp card statements
-Booking conference rooms and Auditorium for regular meetings and Town halls
-Preparing agenda’s & supporting communication for managing logistics for Town Halls and
location-wide or team events, and setting up video conference meetings
-Organizing corporate events on behalf of the MD and the (examples, breakfast meetings, Lunch
with leaders, Speed networking events etc)
-Vacation coverage for the Snr team EA as required
-Assist with team items / issues that arise (CMP, request, Help desk issues etc,)
-Assists with ad hoc reports, special projects, organizational charts, etc.
-Prepares / print materials for manager’s use in discussions and meetings daily
-Coordinating onboarding activity in relation to new joiners and co-source staff
-Maintaining office supplies, requests via Marketplace/P2P.
-Assisting in the handling of corporate credit cards and any queries relating to these items
-Maintaining, collation and distribution for the team Whereabouts – weekly / coverage for Bank
holidays and Christmas via Share Point site for Snr Exec Assistant
Qualifications
-Significant senior level EA experience.
-Significant experience in the financial services industry.
-Excellent knowledge of proven Outlook, Excel, Word and PowerPoint skills
-Excellent organizational skills and ability to work proactively without close supervision
-Strong judgment and decision-making skills
-Strong interpersonal skills, energetic and enthusiastic
-Strong communication skills both verbal and written to be able to interact confidently with internal/
external clients
-Ability to manage/prioritize conflicts, work under pressure and manage tight deadlines which can
arise on daily basis.
-Strong team player
-Experience using P2P, Concur
-Self-motivated and have an active approach to problem resolution
-Demonstrate ability to escalate when required
